Job Description

The Director of Admissions and Records is responsible for the overall leadership and oversight of recruitment, admissions, and records management at Parkland College. This position plays an integral role in shaping plans for recruitment, retention, persistence, and completion of students. The Director of Admissions serves as the college Registrar and the official guardian of the college’s records. This position is responsible for providing a recruitment and outreach vision that is consistent with the institution’s Strategic Plan and the Strategic Enrollment Management plan. The Director ensures compliance with institutional and regulatory policies and guidelines related to student records and works within the parameters of the department’s budget. The Director works in partnership with departments and units on campus to coordinate and collaborate on recruitments events, communication, and processes to aide in the enrollment of new and returning students.

Essential Job Functions:

  • Create and maintain a recruitment and outreach plan based on the goals and tactics of the Strategic Enrollment Management Plan.
  • Develop strategies and activities to attract a diverse population of prospective students.
  • Craft ideas and initiatives related to promoting access to higher education for all populations.
  • Coordinate with Marketing on developing recruitment and operational messaging that is sent from the Admissions and Records Office, include Early College Services.
  • Develop and maintain strong working relationships with K-12 district schools, community-based organizations, and other community entities.
  • Conduct presentations given to prospective and admitted students as well as other community engagement opportunities.
  • Provide oversight of on-campus and off-campus events, related to recruitment and enrollment of students.
  • Oversee the application for admission and the process in which students are admitted to the institution to ensure students can move through the enrollment process in a seamless manner.
  • Develop and disseminate information regarding current and new admissions policies and practices to members of the institution.
  • Work with the Associate Director on registration schedules and set-up in the Student
  • Information System to ensure that students can register when expected.
  • Responsible for staying current with FERPA regulations and providing guidance on the regulation.
  • Develop a vision for efficiencies in various processes including (but not limited to) application processing, change forms, transcript processing, records maintenance, and graduation.
  • Work with Campus Technologies to identify, develop, and implement technology systems, tools, and software to support college processes.
  • Assist with the creation of data reporting that helps inform the recruitment and outreach process.
  • Stay abreast of trends and best practices in higher education enrollment, admissions, and records maintenance.
  • Supervise professional support staff and confidential staff in Admissions and Records, including Early College Services and International Admissions.
  • Serve as a member of various college committees and the Enrollment Management Leadership Team.
  • Establishes an environment of equity, sensitivity, understanding, and respect for the diversity, inclusion of students, faculty, and staff of varying social, economic, cultural, ideological, racial, and ethnic backgrounds.
  • Participates in department budget planning and ensures that all departmental funds are spent properly.
  • Performs other duties which may be assigned by the Dean of Enrollment Management or Vice President for Student Services.

Minimum Requirements:

  • Master’s degree
  • Five (5) years of experience working in an admissions and records office.
  • Experience working with ERP software like Ellucian Colleague
  • Ability to pass a criminal background check with fingerprinting.
  • Possess a baseline knowledge of a CRM.
  • Experience supervising full-time staff.
  • Evidence of progressive experience and taking on new responsibilities within an admissions office.
  • Familiarity with community college enrollment trends.
  • Excellent verbal and written communication and presentation skills.
  • Demonstrated ability to lead and work collegially with others in a team environment.
  • Evidence of possessing the ability to be flexible and nimble in their work, as well as being able to manage a shift in priorities.
  • Demonstrated commitment to equity and inclusion, and ability to work with diverse populations.
  • In an effort to comply with SURS return-to-work restrictions for employers (40 ILCS 5/15-139.5), candidates for employment at Parkland College must either not be a SURS annuitant or must be willing to suspend his/her SURS annuity upon employment. This applies to all SURS annuitants except those receiving their annuity under either the Self-Managed Plan (SMP) or by lump sum payment
