Job Description

BASIC FUNCTION:              

Under general supervision, assists with the daily clerical and logistical needs of an office. Common duties and tasks include answering phones, logging information, copying information, responding to emails, updating schedules, and greeting and assisting visitors to the office.  

 

SUPERVISORY ACCOUNTABILITY:

Involves no responsibility or authority for the direction of others.

 

PRINCIPAL ACCOUNTABILITIES:

  • Greets students as well as internal and external stakeholders.
  • Greeting patients and visitors in person or on the telephone, and answering or referring inquiries
  • Managing administrative tasks for the medical team
  • Scheduling patient appointments according to doctor’s availability
  • Processing payments for immunizations
  • Handling patient emergencies within scope of practice
  • Answers phone lines and directs calls as appropriate.
  • Assumes the check-in and check-out process.
  • Sets and monitors appointments.
  • Follows up with students within scope of responsibility.
  • Receives incoming mail, packages, and notices.  Duplicates and distributes information, and notices to members of the department.
  • Maintains department files and filing system, both hard copies and computerized files as well as front office papers and ensure adequate inventory.
  • Maintains bulletin board, posts notices and keeps information current.
  • Other job duties as assigned.

 

CORE COMPETENCIES:

  • Familiarity with office practices and secretarial science.
  • Skill in the operation of computers, related software applications and standard office equipment.
  • Skill in the use of proper grammar, punctuation, spelling, business correspondence, composition and format.
  • Communicate effectively orally and in writing with a diverse population.
  • Ability to establish and maintain effective and harmonious work relations with faculty, staff, students, and the public.

 

MINIMUM REQUIREMENTS:   

High School diploma or GED and 1-2 years of responsible secretarial experience. Vocational or other technical school, training or apprenticeship beyond HS may be substituted for work experience.
