SALARY: non bilingual: $19.56 - $22.69 - bilingual: $21.32 - $22.69

Position/Job Summary:
Administrative Coordinator performs office management and administrative duties for the programs, by coordinating services, tracking/monitoring reports specific to the funder and program outcomes, and ensuring youth case records are in compliance. In addition, this position performs the administrative portion related to facility requests, by tracking and coordinating with outside vendors or Morrison’s facilities department.
Duties and Responsibilities:
- Initiate and maintain a variety of files and records including youth case files and reports; maintain the department archive system.
- Maintains and updates program forms which may include policies and procedures.
- Collaborate with other agency and department staff on improving overall operations. Participate in Morrison program meetings as assigned.
- Oversee the establishment and maintenance of confidential youth files according to HIPAA rules, agency, and contract requirements.
- Oversee orientation of the administrative functions for all new staff and interns in the department.
- Provide basic computer and other technical support for department including coordinating with agency and community partners.
- Monitors contract compliance and ensures various reports for program contracts.
- Monitor expenditures including reviewing purchase requisitions and signing purchase orders.
- Acts as liaison to facilities to problem solve building issues, security, and janitorial issues.
- Monitor health and safety issues for program, and other health and safety issues.
- Performs general clerical duties, such as filing, faxing, computer data entry, and recordkeeping as needed.
- Performs receptionist duties for program, including answering phones, greeting visitors and monitoring client traffic, as needed.
- Completes, timely and accurate timesheets and other personnel/administrative records as required.
- Participate in the practice and continuing implementation of the Sanctuary Model.
- Other duties as assigned to ensure successful operation of program/department
Experience/Education Requirements:
- One-year employment experience which demonstrates office management experience.
- Intermediate computer skills using word processing, databases, spreadsheets and email
- Attained age 21 years or older before first day of employment in position
Preferred Position Qualifications:
- ORR experience
- Bi-lingual in Spanish and English, written, read and verbal
- Knowledge of Federal, State and agency regulations.
- Knowledge of adolescent developmental issues, trauma, abuse and neglect, substance abuse and dependence, delinquency, peer influence, and related group and individual interventions.
Other Requirements:
- Able to work shift hours and days, as assigned. Position may require work outside of usual work hours on occasion.
- Able to pass a comprehensive criminal history background investigation
- Position may require working at multiple ORR Program sites
- TB test
- Current CPR and Standard First Aid required
- 40 hours of required training per year (Provided by Morrison)
