POSITION TITLE: Executive Coordinator

POSITION SUMMARY:

We are seeking a highly organized and proactive Executive Coordinator to support the Chief Operating Officer at Scripps Research. This role is an opportunity to gain invaluable experience and a strong foundation within our organization, serving as a jumping-off point to advance your career in the life sciences. The ideal candidate will be a detail-oriented professional with excellent communication skills and the ability to effectively manage a wide range of administrative and executive support tasks. This role is crucial for maintaining operational efficiency, enabling the COO to focus on strategic initiatives and key responsibilities.

RESPONSIBILITIES AND DUTIES:


Operational Support

  • Oversee the day-to-day operations of the COO's office, ensuring a professional and efficient working environment.
  • Proactively identify and address issues that may impact the COO's effectiveness and provide solutions and recommendations to boost operational efficiency.
  • Provide administrative support to the COO, including managing calendars and scheduling meetings.
  • Prepare, edit, and refine reports, presentations, and other documents as required.
  • Handle and prioritize incoming communications, ensuring prompt and effective responses
  • Build and maintain strong relationships with internal and external stakeholders, ensuring seamless communication on behalf of the COO.


Meeting Coordination

  • Organize and coordinate internally and externally facing meetings, conferences, and events, managing logistics, agendas, materials, and minutes.
  • Ensure the COO is well-prepared, with all necessary information and documents.


Project Management and Strategic Initiatives

  • Conduct research and gather information to support the COO's strategic planning and decision-making.
  • Assist in planning and executing special projects and initiatives led by the COO.
  • Monitor and report on the progress of key initiatives and provide regular updates to ensure alignment with strategic goals.
  • Details of established essential functions for this position will be addressed/discussed during the interview process.

REQUIREMENTS:

  • Bachelor's degree in business administration, communications, or a related field preferred.
  • 2+ years of proven experience in a role that demonstrates strong organizational and administrative skills, with a preference for experience supporting senior executives in a large organization.
  • Exceptional organizational and time management skills, with the ability to manage multiple tasks and priorities.
  • Strong written and verbal communication skills, with attention to detail and accuracy.
  • Adaptable to changing priorities while maintaining a high level of productivity.
  • Discretion and professionalism in managing sensitive and confidential information.
  • Ability to work independently and collaboratively, demonstrating a proactive and flexible approach to work.
  • Strong problem-solving skills and the ability to anticipate needs and take initiative.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace (Docs, Sheets, Slides, and Forms) required.
  • This is an on-campus position requiring 4 days per week working onsite from our La Jolla campus, with flexibility to work 1 day per week remotely from home.

COMPENSATON:

The expected hiring range for this position is $80,700 to $91,600/annually, commensurate with experience. Consideration will be given to experience that exceeds the listed requirements.
