This position will work a hybrid schedule which includes a combination of working both onsite at La Jolla and remote.

DESCRIPTION

UC San Diego Health Sciences encompasses UC San Diego Health, the region's only academic health system, UC San Diego School of Medicine, one of the nation's top research-intensive medical schools, Skaggs School of Pharmacy and Pharmaceutical Sciences, Southern California's first public school of pharmacy, and Herbert Wertheim School of Public Health and Human Longevity Science. UC San Diego Health Sciences' mission is to deliver outstanding patient care through commitment to the community, groundbreaking research and inspired teaching.

The division of Medical Education within the UC San Diego School of Medicine consists of the following units: Undergraduate Medical Education, Admissions & Student Affairs, Diversity and Community Partnerships, Graduate Medical Education, Continuing Medical Education & Faculty Development, Simulation Education, Physician Assistant Education, Anatomical Services, Business Affairs and Educational Technology. The division supports the education, training and co-curricular activities of approximately 560 medical students, 90 physician assistant students, 1000 residents and fellows as well as the faculty, physician and healthcare providers at UCSD's School of Medicine, its' Medical Centers, and affiliates.

The CMSP Project Coordinator will support the implementation of CMSP outreach programs, program curriculum, activities offered to CMSP students, and training opportunities that incorporate understanding of student academic, social and professional development as are reflected in the mission of CMSP. Assist in the development and implementation of an effective communication strategy with students, staff and partners. Coordinate multiple projects and activities with complex needs, competing demands, and various timelines. Serve as the lead coordinator on CMSP cornerstone events, including Annual Orientation, Research Symposium and Region X Community College Conference. Report to and assists CMSP Project Manager and the CMSP Project Directors.

MINIMUM QUALIFICATIONS
  • Demonstrated experience and proven ability to function at a senior administrative support level.

  • Proficient in Microsoft Office suite applications. Proven ability to utilize computers, software programs, and web-based research and resources to accomplish tasks effectively and efficiently. Demonstrated ability using spreadsheets and database applications to create, modify reports, charts and grids. Ability to compile data and analyze data to recommend and implement per programmatic/operational needs.

  • Experience in preparing and monitoring budget expenditures while identifying, recommending, and implementing approved cost-saving measures.

  • Demonstrated ability to interpret, implement, and communicate administrative policies and procedures.

  • Demonstrated ability to work efficiently in a busy, service oriented office atmosphere with frequent interruptions, varied work assignments, and fluctuating priorities. Demonstrated skill in customer service practices to include assessing, understanding, exceeding customer needs and making relevant referrals to other departments, programs, and services.

  • Demonstrated experience planning and making logistical arrangements for events, orientations, and group sessions, including new student orientation, research symposium, and Region X conference.

  • Ability to maintain strict confidentiality with demonstrated experience using good judgment and discretion when working with a variety of sensitive issues or highly confidential information.

  • Strong organizational skills with demonstrated experience setting priorities, producing timely results and meeting deadlines in a demanding, multi- faceted work environment while maintaining a high level of attention to detail and accuracy.

  • Excellent interpersonal skills, including tact, diplomacy and flexibility. Ability to interact with individuals at all levels within and outside the University to promote positive relationships.

  • Superior communication skills, both verbal and written, with demonstrated ability to communicate clearly, effectively and professionally, in person, in writing, via phone and email. Knowledge of correct English grammar, spelling, punctuation and usage, with the ability to compose and edit correspondence utilizing appropriate formats and styles.

  • Advanced knowledge and experience working with a diverse student population. Ability to interact effectively with a diverse group of staff on campus, and off-campus counselors, administrators, multicultural and non-traditional populations.

  • Comprehensive knowledge of academic programs, including curricula, admissions requirements, and financial aid programs, at UC San Diego School of Medicine.

PREFERRED QUALIFICATIONS
  • Demonstrated ability to prioritize tasks when providing support for CMSP team.

  • Knowledge of UCSD administrative/organizational/functional structure, policies and procedures, School of Medicine departments and their activities, and systems (ISIS, Financial Link, MyEvents, PPS, etc).

SPECIAL CONDITIONS
  • Employment is subject to a criminal background check.

  • Occasional evenings and weekends may be required.

Pay Transparency Act

Annual Full Pay Range: $40,700 - $81,850 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $19.49 - $39.20

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
