Job Summary

The Helen L. Greathouse Children’s Center Secretary provides support to the director and staff at the HLG Children’s Center and Children’s Center at Manor Park.

Required Qualifications

  • Associate Degree or equivalent (60 college credit hours); or High School diploma or equivalent and two years of clerical and general office experience
  • Must be at least 18 years of age
  • Proficient in computers and software usage (Microsoft Office), iPads, 10 key, copy and fax machines, and the English language
  • Good organization skills, phone etiquette, multi-tasking, and excellent public relations skills
  • Must successfully pass an FBI fingerprint check and criminal history background check
  • The employee is required to obtain CPR and First Aid Certification within 90 days of hire
  • Must possess a valid Texas Driver’s License, good driving record, and be insurable on Midland College’s insurance policy

Preferred Qualifications

  • Associate’s degree or higher
  • Experience working in a childcare setting
  • Current CPR and First Aid Certification
  • Knowledge of Texas Health and Human Services, Child Care Licensing (CCL) Minimum Standards

Essential Functions

  • Greet visitors, parents, children, and students with a welcoming attitude
  • Know, implement, and adhere to the Texas Health and Human Services, Child Care Licensing Minimum Standards, Workforce Solutions Permian Basin Child Care Services, Midland College Children’s Centers policies, and Midland College policies
  • Dependability in attendance, arriving on time, positive job attitude, cooperation with parents, children, and staff, flexibility, willingness to accept change, and keeping up with current trends in the field of early childhood development
  • Responsible for providing a clean, uncluttered front reception area by complying with cleaning policies and regulations; the front desk checklist should be completed daily
  • Monitor security at the front desk, front and back entrance doors, sign in and out logs, visitor registration book, etc.; ask for driver’s license/picture identification of parents or persons picking up children for the first time and cross-check on the Emergency Contact form to those authorized to pick up the child.
  • Use appropriate phone etiquette when answering phones, direct calls to appropriate extensions, and disseminate information about the Helen Greathouse and the Manor Park Children’s centers
  • Maintain pertinent office skills and office-related computer applications, ten key by touch, typing, and keep these skills updated to stay current with technology; must be able to meet deadlines of the program
  • Responsible for typing, organizing, filing, and maintaining copies of all forms such as waiting list applications, classroom forms, charts, lesson plans, staff and parent handbooks, as well as other materials for the director and staff.
  • Oversee observation rooms, headphones, cleanliness, etc.
  • Responsible for assisting with lunch and snack setup
  • Overseeing that the kitchen area is kept clean and organized
  • Assist in a classroom during staff breaks and lunchtimes when necessary
  • Maintain current CPR and First Aid certification and 30 clock hours of annual training for CCL, from the date of hire
  • Contribute to the team effort by accomplishing related tasks and assisting staff in all areas of the Centers as needed
  • Other duties as assigned

Physical Demands

  • Must be able to remain in a stationary position 50% of the time
  • Must be able to sit or stand for long periods of time
  • The person in this position needs to occasionally move or drive to other locations on and off campus
  • Repetitive use of a keyboard at a workstation
  • Use of manual dexterity
  • The person in this position frequently communicates with others; must be able to exchange accurate information
  • Frequently lifts equipment or paperwork weighing up to 20 pounds and children up to 40 pounds
  • Assist with potty training, walking, bending, standing, stooping, reaching, squatting down, stretching, sitting on the floor, rising up from low chairs or when sitting on the floor, and must be able to participate with children on the playground
  • Ethical behavior, security sensitive work, team-oriented, cooperation with coworkers, secure work environment, confidentiality required
  • Duties indoors and some outdoors
  • Office, classroom, and playground setting
