Class Description
The purpose of this class is to provide advanced level administrative support services to assigned department, school or division.
Minimum Requirements
High school diploma/GED and seven years related office experience or Associate’s Degree and five years related office experience; knowledge and experience using Microsoft Office applications; must complete and pass Microsoft testing modules which includes Word and Excel and demonstrate the ability to type 40 wpm; experience in higher education preferred. (Candidates with proof of current Microsoft Office Expert Specialist Certification do not need to test.)
Class Specific Essential Duties
- Assist and provide information to students, faculty, administrators, and the college community in person and on the telephone.
- Assist with special projects, meetings and/or special events.
- Serve as liaison between department or program and other offices or organizations.
- Research, analyze and process data into college systems.
- Maintain records and files.
- Assist with area budget process.
- Compile reports, documents, forms and correspondence.
- Create and track check requests, requisitions, work orders and other request forms.
- Manage calendars for department personnel.
- Process and manage all relevant course, program and/or personnel paperwork.
Position Specific Essential Duties
- Support the Assistant Vice President of Student Affairs and the Assistant Vice President of Academic Affairs, including managing the assistant vice presidents’ calendars, meeting requests, and invitations and coordinating travel arrangements.
- Provide scheduling, notetaking support, and distribution of meeting material in support of the assistant vice presidents, as needed.
- Assist the assistant vice presidents in the execution and analysis of reports and documents from Academic and Student Affairs departments, other CCBC departments, and/or external constituents, typically of a sensitive and/or confidential nature, including compiling, designing/creating, maintaining and editing of reports, spreadsheets, and other documents.
- Serve as a resource for the other administrative support assistants who fall under the oversight of the Academic and Student Affairs Assistant Vice Presidents, ensuring the departments’ processes and procedures are consistent and follow the college’s guidelines and processes.
- Assist with budget development, management, and distribution in assigned Academic and Student Affairs organizations.
- Manage the P-card ordering and purchase orders process, records updates, and maintenance for the assistant vice presidents’ offices.
- Serve as initial contact and/or liaison between internal departments and external organizations.
