Job Title: Program Manager

Location: Greater Seattle Area, remote work

Job Type: Part-time - 30 hours per week, ~ 10 AM - 4 PM PST

Reports To: Executive Director

Position Overview:

Our tutors are an essential part of our mission, and we are looking for a Program Manager to play a key role in supporting our tutors, maintaining program operations, and ensuring our organization runs smoothly. The ideal candidate will be proactive, highly organized, culturally competent, and passionate about supporting our mission to help students succeed through the efforts of dedicated tutors.

About the Organization

Tutors Impacting Public Schools (TIPS) impacts students, teachers, and school communities, providing representative, culturally responsive classroom tutors to enable student and school success. TIPS serves over 3000 students in grades K-12 each year, in partnerships with schools across the Puget Sound region. We offer in-person tutoring, and provide competitive pay, classroom experience, training, and access to professional education networks for college/university students, career-switchers, and community members who seek to bring their knowledge, interest, and diverse experience to make a difference for children and youth.

The TIPS model emphasizes collaboration among schools, community partners, TIPS and caring, culturally responsive adults who can provide consistent learning support for students. We hire and train tutors for school placements to improve student success, support teacher and school needs, and enrich public school classrooms. Tutors may serve as circulating classroom assistants, lead small groups, or provide individual academic, emotional, or social support at school sites during regular school hours.

Key Responsibilities:

Program Support:

  • Assist with tutor recruitment, including application review, interviews, reference checks, ensuring a smooth process for tutors.
  • Coordinate the preparation and onboarding of tutors, ensuring they are fully ready to begin work at schools.
  • Track tutor schedules, placements, and open positions.
  • Help plan, organize, and execute events and activities designed to engage tutors and promote a positive organizational culture (e.g., Fall Kickoff, End-of-Year celebrations).
  • Participate in meetings with schools to understand their tutoring needs and ensure alignment with program offerings.
  • Attend meetings with stakeholders to gather insights, provide updates, and contribute to the overall success of the program.
  • Contribute to the development of program materials, reports, presentations, and other documentation.
  • Troubleshoot and resolve program-related issues in a timely and effective manner.

Administrative Support:

  • Manage communications related to the program, including email correspondence, phone calls, and meeting coordination.
  • Handle administrative tasks such as employment verification forms and timesheet approval.
  • Prepare and process contracts, addendums, quotes, and other program-related documentation.
  • Provide general administrative and operational support to the program team as needed.
  • Manage the organization’s online presence and social media accounts, creating and implementing strategies to increase engagement and visibility.

Tutor Communication:

  • Serve as the main point of contact for tutor inquiries, including payroll questions, training, and general support.
  • Track absences and arrange substitutes for when tutors are out.
  • Support outreach efforts by coordinating meetings, webinars, and workshops for tutors, ensuring smooth logistics and participant engagement.

Data Collection & Reporting:

  • Maintain program databases and application tracking systems, track metrics, and prepare status reports.
  • Collect and compile feedback from tutors, teachers, and partners to assess program outcomes and contribute to progress reports.
  • Assist with fundraising activities and grant writing, contributing to proposals or reports when needed.

Preferred Qualifications

Experience:

  • 1-2 years of experience in administrative or program support, preferably in a nonprofit, education, or similar environment.

Skills:

  • Strong organizational and time-management skills, with the ability to manage multiple tasks and competing priorities.
  • Excellent verbal and written communication skills, with an ability to connect with diverse stakeholders (e.g., tutors, teachers, schools).
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Suite, and familiarity with project management tools (e.g., Monday.com) and Applicant Tracking Systems (ATS).
  • Experience with program evaluation, data management, and CRM tools.
  • Event planning and coordination experience, with the ability to create engaging, organized events.

Start Date: March 24th, 2025

Compensation: $30.00 per hour
