Germanna Community College is seeking a full-time Assistant Registrar tasked with ensuring that the assigned Enrollment Services staff provide excellent customer service and respond to in-person and remote inquiries from the public regarding credit and non-credit programs offered by the college. The Assistant Registrar will serve as the completion process lead at the Daniel Technology Center (DTC). This position is responsible for managing the daily functions of the Enrollment Services office (DTC) with an emphasis on preparing students and their records for graduation. This role will supervise two full-time and two part-time staff members who are responsible for the maintenance of student records and student support service. This position is primarily based on-campus at Daniel Technology Center (DTC).

Major Duties and Responsibilities:
  • Organize and plan two Commencement ceremonies per year, serving as the Chair of the Commencement Committee.
  • Serve on the Curriculum Committee preparing accurate curriculum progress reports and appropriate graduation correspondence for students.
  • Participate in VCCS Workgroup weekly conference calls and training and attend the annual VACRAO conferences.
  • Manage the daily operations of the Enrollment Services office at the Daniel Technology Center (DTC), maintaining high standards of customer services and operational efficiency.
  • Develop and implement new procedures and policies, maintaining the policies and procedures manual for degree conferral, course exception, records, and program audits.
  • Develop a paperless process and an efficient reverse transfer process, aiming to increase the reverse transfer annual conferrals by 2%.
  • Respond to student inquiries regarding graduation requirements and ensure the graduation website is updated each year.
  • Run and process potential graduate reports to identify students ready to graduate who did not apply, aiming to increase annual conferrals by 3%.
  • Oversee the grade change process and increasing efficiency throughout the semester.
  • Assist with end-of-term processes around grade repeats with the Retention Assistant Registrar.
  • Prepare attestation letters for the Nursing Board for Health Sciences students who have completed all the requirements for their program.
  • Oversee the graduation process, including degree audits and graduation applications.
  • Collaborate with Deans, Faculty, and Staff across departments to support student degree completion.
  • Provide leadership and guidance to Completion Enrollment Services staff, fostering a team-oriented and student-focused environment.

Minimum Qualifications:
  • Experience in a higher education setting
  • Ability to work independently and effectively manage multiple projects concurrently under pressure
  • Detail-oriented and capable of maintaining confidential information
  • Excellent oral and written communication skills, including customer service
  • Excellent organization and prioritization skills
  • Microsoft Office and database management experience
  • Experience using a Student Information System (PeopleSoft, Lumens, Banner, etc.)
  • Knowledge of institutional policies and procedures with the ability to interpret and apply them
  • Experience with or willingness to learn AI tools
Preferred Qualifications:
  • Extensive experience in education, business administration, or related field, equivalent to relevant work experience.
  • Bilingual (Spanish)
  • Experience in planning commencement ceremonies
  • Experience in graduation processes, degree audits, and running graduate reports
  • Previous experience in Enrollment Services, Admissions, Registrar’s Office, or a related role
  • Considerable supervisory experience
  • Experience engaging and working with diverse populations
  • Experience in curriculum updates
  • Experience with transcript evaluation
