Overview

This position is considered remote, 0-1 days onsite at 10 Brookline Place, Brookline, MA each week. DFCI guidelines state that employees must reside in New England: Connecticut, Maine, Massachusetts, New Hampshire, Rhode Island, or Vermont.

 

GENERAL SUMMARY: 

This Assistant position on Donor Experience & Engagement supports a comprehensive recognition and events program for a major donor base. Responsible for assisting the entire Division with reaching financial goals.

The onboarding of this role will include a comprehensive training process which includes completion of online modules, shadowing colleagues, as well as hands-on learning experiences throughout the first calendar year in the role.

Responsibilities

PRIMARY DUTIES AND RESPONSIBILITIES:

Provide essential administrative support for the Donor Experience & Engagement recognition and events teams. Responsibilities include, but are not limited to:

  • Preparing for and scheduling meetings, taking meeting minutes, handling meeting follow-up, and drafting correspondence and internal documents;
  • Collaborating on projects such as named space gift proposals, recognition opportunities, recognition gifts procurement, digital asset database management (Portfolio), named space inventory, and other projects as assigned;
  • Managing the display checklist process, including regular review and maintenance of all Institute displays;
  • Updating digital display elements throughout the Institute as needed, and serving as the point person for software and programs used to manage displays and other donor recognition (ThankView, design programs, etc.);
  • Assisting with logistics for a range of stewardship, recognition, and cultivation events, including managing invitation lists and collecting RSVPs, recruiting volunteers, preparing event materials, attending events and assisting with staffing responsibilities, and managing the speaker database;
  • Documenting and maintaining department processes, procedures, and forms;
  • Other duties as necessary.

SUPERVISION:

Reports to the Senior Director, Recognition, and Senior Director, Events, both on the Donor Experience & Engagement team.

Qualifications

MINIMUM JOB QUALIFICATIONS:

High School Diploma or equivalent required. Associate/Bachelor’s degree preferred. No experience required. Administrative experience strongly preferred.

 

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

  • A self-starting attitude with the ability to work both independently and as part of a team.
  • An ability and desire to work in a fast-paced environment where multi-tasking is the norm.
  • Strong attention to detail, organization, and prioritization.
  • Strong written and verbal communication skills.
  • Highly proficient with Microsoft Office 365 (Word, Excel, PowerPoint, Outlook, SharePoint, OneDrive, Teams); database management skills and ability to learn new programs as needed helpful.
  • Strong customer service skills and ability to communicate clearly and effectively a wide range of individuals, including highest level of DFCI constituents.

WORKING CONDITIONS:

Remote work flexibility with 1 day per week in the office at 10 Brookline Place, Brookline, MA. Some evening and weekend work required. Local travel in the Boston area will be required.
