Job Summary

Research on Teaching Mathematics in an Undergraduate Setting (RTMUS) Lab, led by Professor Vilma Mesa, seeks an administrative assistant with a strong commitment to diversity, equity, inclusion, and justice to assist in running the RTMUS lab in the Marsal Family School of Education. We seek a team player with a positive attitude to join our lab to support the work in the lab and manage multiple aspects of three active research projects.

This is a full-time, one year term-limited appointment.  

Responsibilities*

Provides high level administrative support to faculty researcher and postdoctoral fellows. Manages, organizes, and maintains a complex calendar. Schedules meetings and appointments with internal and external constituents in multiple time zones. Assists with preparation and follow-up for meetings as necessary, including creating and sending zoom links, ordering food, and reconciling hosting expenses.

Coordinates domestic and international travel schedules and reservation accommodations including but not limited to hotels and transportation. Anticipates travel needs and fulfills change/cancellation requests in a timely manner. Coordinates arrangements and completes reports and travel reimbursement process and handles payments for research participants. Reviews and reconciles procurement cards.

Drafts and supports communication needs such as emails and notices (including multiple email groups); assists in recruiting, hiring, and onboarding undergraduate and graduate students and interns; approves payroll and sends reminders for submitting time sheets; supports data management activities; keeps the lab organized and running (ordering toner, purchasing supplies); promotes a welcoming, organized, efficient and professional office environment; and attends lab professional development meetings and sending weekly meeting agendas.

Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department. Work agreements are reviewed annually at a minimum and are subject to change at any time, and for any reason, throughout the course of employment. Learn more about the work modes.

Additional Information

The salary range is 50,000 to 60,000, depending on experience. This is a one-year, full-time position (40 hours a week). The position is in person but there will be flexibility to work remotely on a set schedule based on the lab needs.
