Reports to: Director of Shelton Campus

The Program Specialist 3 on the Shelton Campus serves as the central point-of-contact for students, staff, faculty and the public. This position provides primary support to the Director of the Shelton campus. The Program Specialist 3 assists prospective students with admissions, enrollment, and financial aid processes by explaining decisions, account charges, initiating payment plans, and assisting with the application process as needed. The Program Specialist 3 is the first point of contact for students and the public, requiring exemplary customer service skills and the ability to explain complex federal, state and college policies, procedures and regulations. This position exercises independent judgment in applying those rules and regulations and is responsible for multiple major program activities with the guidance and direction of the campus director. Assists higher-level staff with general operations of Shelton Campus activities such as room scheduling, advertising, activities organization, and student employee operations.

 

Essential Functions

 

  • Provides front desk coverage.
  • Greet and confer with students, staff, faculty, and community members in person, over the phone, or in writing to identify needs, provide information, or direct customers to resources.
  • Explain the requirements and procedures related to the Shelton Campus staff, students, faculty, and community members.
  • Use set procedures to identify issues, research, and apply solutions and information to resolve complaints.
  • Actively identify areas for improvement, propose solutions, and take appropriate initiative to improve processes upon approval.
  • Intake documents and forms, collect prospective student data, monitor enrollment, and report results. (Data collected from the phone, walk-in, and email inquiries) Create, maintain, and send follow-up emails to contacts.
  • Screen students for a variety of programs and services to determine eligibility for various funding opportunities. Screening for what the students are looking for, determining the best resources for them, and getting them in contact with the appropriate department.
  • Submit necessary registration and records forms for academic and support services.
  • Enroll and register students.
  • Plan and facilitate quarterly campus events including the annual community resource fair focused on highlighting education programs, career opportunities, enrollment processes, financial aid, scholarship opportunities, student services, and community resources.
  • Write, edit, and distribute student newsletter.
  • Design and coordinate print and online advertisements.
  • Oversee social media posts and analytics. Generates digital media content and a schedule of consistent posts utilizing various social media platforms on behalf of the Shelton campus. Analyzes social media metrics to determine the engagement of the target audience: current students, prospective students, alumni, and the broader community.
  • Develop targeted email marketing campaigns.
  • Maintain the classroom matrix schedule and update it throughout the quarter as needed.
  • Schedule classrooms for each quarter which involves running reports and resolving issues related to room scheduling.
  • Pull financial reports, and perform analysis to resolve any discrepancies.
  • Order and coordinate cash replenishment as needed.
  • Process tuition, fee, and voucher payments and forward them to Accounts Payable and/or Records and Registration.
  • Other duties as assigned.

 

Qualifications

Minimum Qualifications


  • High School Diploma or equivalent.
  • Proficiency with Microsoft Office products
  • 1-year minimum experience in customer service
  • 2-year minimum experience in office

Desired Qualifications
  • Experience working in education
  • Knowledge and experience with student management systems
  • Multilingual/Bilingual
  • Familiarity with FERPA regulations
  • Familiar with the challenges faced by non-traditional students.

Terms of Employment


This is a full-time classified position scheduled to work 40 hours a week, with a salary range of $55,224 - $74,376 annually. All classified positions will start their salary at Step A, when you have completed six months of probation, you will receive a 5 percent pay increase. A collective bargaining agreement exists, and this position is covered by the Washington Public Employees Associate (WPEA) Union. Classified positions qualify for the following benefits:
